Timeline

The timeline loads automatically when an email is selected or entered and will show you all activity for the contact right in your inbox.

Activity could include emails, calls, tasks, notes and data flowing in from any of your existing systems: your sales, marketing, customer support systems and more.

You can easily switch to the company view to see all activity across the company.

Contact or Company View

The contact view will load the timeline for the selected or entered email address. You can then switch to company view which will load the timeline for any contacts who share the domain name of the selected or entered email address.

For example if Sheila.Smith@PlayPlayCompany.com is the selected or entered contact, the timeline will load with any content belonging to users who have the domain name PlayPlayCompany.com.

Groups

A group can contain one or more members and adding members to your group allows them to add items to the timeline for that contact or company.

Add Email

You can select which emails you would like to add to the timeline and add them either groupwide or privately.

Groupwide means that anyone who is a member of the group will be able to see the email on the timeline. Privately means that only the users who added the email will be able to see the email on the timeline.

Easy Add

Easy Add creates a folder in your inbox where you can drag and drop emails to which will then automatically add them to the timeline.

Log Activity

You can add an incoming or outgoing call, task or note to the timeline for the contact.

Quick Actions

Quickly compose a new email or reply to an existing email using a template. Templates can contain smart tags which will automatically populate the sender or receivers first name, last name or email address.

Use MailChimp? Use the MailChimp Quick Action to instantly subscribe the contact to one of your MailChimp lists.




Channels

Channels allow you to automatically feed data from thousands of third party apps onto the timeline with minimal integration effort or skill required using Microsoft Flow, Zapier or MailChimp. This could include data from any of your existing systems: your sales, marketing, customer support systems and more.

Favourites

Adding a contact or company as a favourite allows you to easily get back to their timeline.

Pulse

Turn information into action by keeping your finger on the pulse and see exactly what has changed on each company and when: their priority, current health, health trend, renewal, renewal date and more.

Reports

Reports allow you to easily see all activity or companies and their associated company metrics.

Activity allows you to see all actvivity by channel or by who is sending and receiving the email that has been added to the timeline.

Company Metrics allows you to see a list of companies and their associated company metrics.

Tasks

Tasks allow you to track what needs to be done. Show your, or all the groups tasks, that are either current or between a certain date range.

Head over to Microsoft AppSource - the destination for business apps - and search for AppsForOps Timeline.
In Outlook:
  • Click the Home tab on the ribbon and look for the AppsForOps group.
  • Click Open Timeline and AppsForOps Timeline will open in the Outlook add-in window.
Outlook Open Contact
In Outlook Web Access:
  • Select an email and on the email header locate the Timeline link.
  • Click Open Timeline and AppsForOps Timeline will open in the Outlook Web Access add-in window.
OW Open Contact
In Outlook:
  • Click the Home tab on the ribbon and look for the AppsForOps group.
  • Click Open Timeline and AppsForOps Timeline will show in the Outlook add-in window.
  • Select the pin which will pin the Timeline add-in window.

In Outlook Web Access:
  • Select an email and on the email header locate the Timeline link.
  • Click Open Timeline and AppsForOps Timeline will open in the Outlook Web Access add-in window.
  • Select the pin which will pin the Timeline add-in window.
OWA - pin
In Outlook:
  • Click the Home tab on the ribbon and look for the AppsForOps group.
  • Select the email that you would like to add and select add email to timeline.
  • If you add the email groupwide everyone in the group will be able to see it on the timeline and if you add it privately only you will be able to see it.
Outlook - Add email
In Outlook Web Access:
  • Select an email and on the email header locate the Timeline link.
  • Select the email you would like to add and select add email to timeline.
  • If you add the email groupwide everyone in the group will be able to see it on the timeline and if you add it privately only you will be able to see it.
OWA - add email

Easy Add creates a folder in your inbox where you can drag and drop emails to which will then automatically add them to the timeline. When you grant AppsForOps Timeline access this will allow us to create this inbox folder and set this up for you.

Once setup, a folder called AppsForOps Timeline will be created in your inbox. Depending on which Groups you configure Easy Add for there will be a folder created under the AppsForOps Timeline folder that represents the group name.

Under the group name folder will be the following folders:

  • Add email groupwide
  • Add email privately
  • Processed

When adding an email into the add email groupwide or privately the email will be added to the timeline accordingly and the email will be moved to the processed folder.

Quick Add

Head over to Settings > Global Settings > Easy Add. Click on the Grant Access button which will allow us to create the AppsForOps Timeline folder in your inbox for you. Select which groups you would like to configure Easy Add for and click Save.

You will receive a confirmation message once everything has been setup and configured.

Take any email and drag and drop this into the add email groupwide or add email privately folder in the relevant group.

Once added to the timeline the email will automatically be moved to the processed folder.

Channels allow you to automatically feed data from thousands of third party apps onto the timeline with minimal integration effort or skill required using Microsoft Flow, Zapier or MailChimp.

This could include data from any of your existing systems: your sales, marketing, customer support systems and more.

Extend the timeline even further by automatically feeding in data from thousands of third party apps onto the timeline using Microsoft Flow.

To enable additional Channels from Zapier head over to Settings > Group Settings > Channels. Select Create new Channel and give the Channel a name. Switch the newly created Channel on and this will now activate the Channel in your Channels menu.

Next up you will need an AppsForOps Timeline API Key to use in Microsoft Flow. To create an API Key head over to Settings > Group Settings > API Key and select Generate new API Key or select an existing API Key.

Please note that an API Key is specific to an AppsForOps Timeline Group so when you generate the API Key, if you do have more than one AppsForOps Timeline Group setup, ensure that you generate the API Key when the correct AppsForOps Timeline Group is selected.

Once generated, copy the API Key.

Finally head over to Microsoft Flow and use the AppsForOps Timeline Microsoft Flow connector to add data from hundreds of third party apps to your AppsForOps Timeline. Use the AppsForOps Timeline API Key that you generated for authentication and this will write the data to the Channel in your AppsForOps Timeline Group. To map the data to the Channel ensure that you use the exact name of your newly created Channel in the Source field of the AppsForOps Timeline Microsoft Flow connector.

Please note that an API Key is specific to an AppsForOps Timeline Group so when you generate the API Key, if you do have more than one AppsForOps Timeline Group setup, ensure that you generate the API Key when the correct AppsForOps Timeline Group is selected.

Once generated, copy the API Key.

Finally head over to Zapier and use the AppsForOps Timeline Zapier App to add data from hundreds of third party apps to your AppsForOps Timeline. Use the AppsForOps Timeline API Key that you generated for authentication and this will write the data to the Channel in your AppsForOps Timeline Group. To map the data to the Channel ensure that you use the exact name of your newly created Channel in the Source field of the AppsForOps Timeline Zapier App.

If you use MailChimp you can automatically feed MailChimp data onto the timeline to see what campaigns a contact has been sent, what emails they have viewed and what links they have clicked on.

To enable the MailChimp Channel head over to Settings > Group Settings > Channels. Switch the MailChimp Channel on and enter your MailChimp API Key. This will now activate MailChimp in your Channels menu.

Templates allow you to quickly compose a new email or reply to an existing email using a template. You can access templates on the Home tab by selecting Quick Actions and then Templates.

The list of smart tags that can be used in templates are as follows:

|RECIPIENT-LASTNAME| This tag will be replaced with the last name of the recipient.
|RECIPIENT-EMAIL| This tag will be replaced with the email address of the recipient.
|SENDER-FIRSTNAME| This tag will be replaced with the first name of the sender.
|SENDER-LASTNAME| This tag will be replaced with the last name of the sender.
|SENDER-EMAIL| This tag will be replaced with the email address of the sender.

Company Metrics allow you to store and capture a number of details about a company. You can decide to use one or more metrics for a company, including:

Company Metric Description
Show Contacts for Company This will show a list of all contacts that are held in AppsForOps Timeline for a company.
Show Health According to Company (ATC) Health According to Company (ATC) can be set to Green, Amber or Red.
Show Health According to Us (ATU) Health According to Us (ATU) can be set to Green, Amber or Red.
Show Health Trend Health Trend can be set to Improving, Same or Deteroriating.

Show Link allows you to store a specific link for a company which can include the following smart tags:

|CONTACT-EMAIL|

|COMPANY-DOMAIN|

|CONTACT-EMAIL| will be replaced with the email address of the contact. For example: Sheila.Smith@PlayPlayCompany.com.

|COMPANY-DOMAIN| will be replaced with the domain name of the company. For example: PlayPlayCompany.com.

Show Priority Priority can be set to 1, 2 or 3 for a company.
Show Renewal Value Renewal Value is a currency amount that can be set for a company.
Show Renewal Date Renewal Date is a date that can be set for a company.
Show Next Touch Date Next Touch Date is a date that can set for a company.

To enable Company Metrics head over to Settings > Group Settings > Company Metrics and select which Company Metrics you would like to show.

Links allow you to store a specific link for a company which can include the following smart tags:

|CONTACT-EMAIL| This tag will be replaced with the email address of the contact. For example: Sheila.Smith@PlayPlayCompany.com.
|CONTACT-NAME| The tag will be replaced with the display name of the contact. For example: Sheila Smith. If the display name is not available this will default to the email address of the contact.
|COMPANY-DOMAIN| This tag will be replaced with the domain name of the company. For example: PlayPlayCompany.com
|COMPANY-NAME| The tag will be replaced with the company name. For example: PlayPlay Company. If the company name is not available this will default to the domain name of the company.

In Outlook desktop client:

File > Manage Add-ins > This will take you to https://outlook.office.com/owa/?path=/options/manageapps Select Timeline and click the - button to uninstall it

In Outlook web access:

Settings > Manage Add-ins > My Add-ins > Remove Or alternatively browse directly to https://outlook.office.com/owa/?path=/options/manageapps Select Timeline and click the - button to uninstall it

Still having issues?

If you are still having issues uninstalling AppsForOps Timeline then please check the below:

  • The current network you are on is blocking access to a specific part of the Windows Store that you need to reach to uninstall add-ins.
    • If this is the case then please try and uninstall the add-in on another network.
  • You are logged into another Microsoft account at the same time.
    • If this is the case please open an Incognito browser window, login with the same email address that you installed the add-in with and attempt the uninstall again. /li>
    • You can validate which user you are logged into AppsForOps Timeline with by looking at the top of the AppsForOps Timeline window and then compare the email address to the one that you are logged into Outlook Web Access with.
